Once installed, you can directly archive files and documents in BvLArchivio using the right mouse button!

Once installed, you can archive a single e-mail or all of the e-mails in selected folders in BvLArchivio with just one click! The e-mails will be archived here in their original format (MSG) together with all of their attachments. Certain types of e-mail attachment (PDF, Word, Excel) can also be archived separate to the e-mail file in BvLArchivio if desired. Our application example as a PDF file.

PDF files (invoices, documents or scanned records) received via e-mail can firstly be read and checked as usual. The plug-in allows the user to start the verification process so that the received e-mail including all of its attachments and the approval protocol can be forwarded to another recipient, who can then also carry out a verification process and forward it or archive the process in BvLArchivio. All approvals and comments can be viewed by all recipients involved in the process. Our application example as a PDF file.

MASS ARCHIVING:
With the free programme you can automatically transfer several files to BvLArchivio at the same time. To do this, copy your folder with the files (subfolders are also possible) into the working directory and start the programme. Metadata is generated for each individual file. This metadata maps the folder structure and file naming of a file. Each file receives a metafile with this information. The content of the metafile is read out by BvLArchivio. You will therefore find your data in BvLArchivio exactly as you have organised and filed them in your current folder structure. You can transfer any file. In the case of PDF files, you can also specify whether they are to be transferred to OCR. This allows you to search for the entire content in the archive. You can also specify fixed search terms for all files that are not derived from the folder or file names. The programme transfers all files to the BvLArchivio server and creates detailed logs of which files were successfully archived and which could not be archived. A query list is also created automatically so that you can then have the BvLArchivio server carry out a mass check to see whether every file was actually archived correctly.

DIGITAL LEGACY:
It should not take much effort to transfer your digital old stock, which is already in a file system, to BvLArchivio. With the free programme, you can have the programme read out entire folders including subfolders. Metadata is generated for each individual file. This metadata maps the folder structure and file naming in which a file is located. You will therefore find your data exactly as you have organised and filed them in your current folder structure. You can transfer any file. In the case of PDF files, you can also determine whether they are to be transferred to the OCR. This allows you to search for the entire content in the archive. You can also specify fixed search terms for all files that are not derived from the folder or file names. You then transfer the files to the BvLArchivio server at a suitable time. This is to prevent large amounts of old files from disrupting daily operations. The transfer of the files takes place in the form of a simple copy. In addition to the metadata, a query list is automatically created by the programme so that you can then have the BvLArchivio server carry out a mass check to verify that each file has indeed been archived correctly.

HARD DISK CHANGE:
Monitor the regular change of hard disks with the free programme. You will automatically receive an e-mail if the backup hard disks have not been changed. Install the free software tool on any computer and monitor BvLArchivio (prerequisite: BvLArchivio server version from 12-2019 available). If you do not want to change hard disks but still want a high level of data security, you can also work with an additional backup server for which a fee is charged. In this case, all data from the main server is immediately transferred to the backup server. Your data would then be 6-fold redundant on two different servers, which can be in two different locations in the company network.
